Resetting an On-Demand interview stage is a simple way to extend deadlines, allow for response edits, or fix skipped steps so your candidates can successfully complete the stage.
Why reset an interview?
Resetting an On-Demand stage is a versatile tool. You might use it to:
Extend a Submission Deadline: If a candidate’s link has expired, resetting the interview restarts their submission clock.
Allow for Retakes: If a candidate has already submitted but has remaining retakes, you can re-open the stage so they can polish their responses.
Fix a Skipped Stage: If a candidate accidentally self-attested to an exemption and skipped a stage they actually needed to complete, a reset puts them back on track.
Understanding Submission Deadlines
The submission deadline is the window of time (e.g., 48 hours) a candidate has to finish their interview. Depending on your specific account configuration, this countdown usually begins either when the invitation is sent or when the candidate first clicks the link. You can see a Job Stage's Submission Deadline on the Candidate Experience tab of the Job stage.
Note: If you’re unsure how your specific deadlines are configured, we recommend reaching out to your internal System Administrator for your account's specific settings.
Step-by-Step: Resetting the Interview
Follow these steps to re-open an On-Demand stage for a candidate:
Locate the Job: Select Jobs from the main Hirevue menu bar and click on the specific job title to open the Job Summary view.
Find the Stage: On the Progress Bar, select the On-Demand stage containing the candidate you wish to reset.
Open the Action Menu: On the specific candidate’s card, click the Action Menu (three dots or "kebab").
Select Reset: Choose Reset Interview from the list
Confirm: Select Yes, Reset Interview to finalize.
What does this do? The stage will immediately re-open, and the candidate's deadline will be refreshed. HireVue will automatically send them a new email invitation so they can jump right back in.
If the candidate answered interview questions, and you would like them to re-attempt some or all of those questions, please continue with the following steps:
6. Open the Action Menu again: (three dots or "kebab") and select See Responses. From this page, you will be able to see any answers the candidate gave.
7. To delete a response, click the Question and select Delete Candidate Response at the bottom of the page. You may need to scroll down depending on your zoom settings.
Now, the candidate will be able to re-attempt the questions that do not have a response.
Troubleshooting: Why can’t I see the 'Reset' option?
If you’re following the steps above but don’t see the option to reset, here are a few common reasons why:
1. Do you have the necessary permissions? The ability to reset interviews is tied to your user role in Hirevue. If the "Reset Interview" option is missing from your action menu, you may need your System Admin to update your permissions settings.
2. Has the job been closed or archived? Interviews cannot be reset if the job itself is no longer active. Ensure the Job status is set to "Open" before attempting to reset individual candidates.
3. Is it a Live Interview instead of On-Demand? The "Reset" workflow described here is specifically for On-Demand (pre-recorded) interviews. For Live interviews, you won’t see a "Reset" button; instead, you would simply reschedule the start time within the interview details.
