Email templates
Hirevue uses customizable email templates to generate email invitations for candidates who are added to interview stages. Email invitations provide candidates with basic information about the interview process, as well as a link that they can click to begin their interview.
Email templates contain a combination of text and available fields. Available fields (also known as merge fields) are variables for system data that are used to customize emails.
For example, the default on-demand video email invitation template includes the Company Name field (displayed as ${Customer.Name} within the email template editor) in the subject line. When emails are generated, Hirevue substitutes the client's name for the merge field, resulting in a personalized candidate experience.
Client Administrators can use the Email Template functionality within Hirevue to
- Determine which areas of the email template (if any) recruiters can edit within the interview stage
- Preview mobile and desktop versions of emails produced from the template.
- Select standard or branded designs.
- Easily edit both static text and available fields within email elements (header, body, closing and support) of English and translated templates.
- Reset customized English and translated email templates to the default configuration.
Editing Email Templates
As a client administrator with appropriate permissions, you can use the Email Templates page under the Resources menu to edit email templates. When you edit an email template, you can change general template settings, such as
- Whether you want to use a branded or standard email design
- What sections of the template can be edited by recruiters at the job interview stage, and
- The language that you want to use for emails sent using this template.
You can also edit the content and variables used for the various sections of each email created using this template (for example, Header, Body, Call to Action button, Closing, and Support).

Available Email Templates
Email templates are available for all interview types. Some interview types (for example On-Demand Text and Live Video, Voice, and In Person) have two email templates, each template targeted towards a specific audience.
Available email templates are listed as cards within the Email Templates page. Each card displays
- Template name
- Text and an icon that indicates the interview type for which it is intended, and
- Indicator that identifies the email recipient (for example, Candidate, Interviewer, or Recruiter).
The following example illustrates an email template that is used to send interview invitations to candidates to participate in On-Demand Voice interviews.

On-Demand Text (SMS sent and SMS not sent)
Invitations sent to candidates to complete an On-Demand Text interview. There are two email templates associated with On-Demand Text interviews:
- SMS not sent: Invitation sent to candidates to complete an On-Demand Text interview using their web browser.
- SMS sent: Invitation sent to candidates to complete an On-Demand Text interview using either their web browser or by responding to questions sent via text message to their mobile device.
Live Video (Candidate and Hiring Manager)
There are two email templates associated with Live Video interviews: one directed towards candidates and the other towards hiring managers (interviewers or recruiters).
- Candidate: Invitation sent to candidates to participate in a Live Video Interview. Use this template to provide candidates with information they will need to participate in the interview, for example how to prepare for the interview.
- Interviewer or Recruiter: Invitation sent to interviewers to conduct a Live Video interview with a candidate. Use this template to provide hiring managers with information that you don't want the candidate to see, such as how to prepare for the interview using company guidelines or how to access the network or tools they need to participate in the interview.
Live Voice (Candidate and Hiring Manager)
There are two email templates associated with Live Voice interviews: one directed towards candidates and the other towards hiring managers (interviewers or recruiters).
- Candidate: Invitation sent to candidates to participate in a Live Voice Interview. Use this template to provide candidates with information they will need to participate in the interview, for example how to prepare for the interview.
- Interviewer or Recruiter: Invitation sent to interviewers to conduct a Live Voice interview with a candidate. Use this template to provide hiring managers with information that you don't want the candidate to see, such as best practices for getting the most out of candidate interviews.
Live In Person (Candidate and Hiring Manager)
There are two email templates associated with In Person interviews: one directed towards candidates and the other towards hiring managers (interviewers or recruiters).
- Candidate: Invitation sent to candidates to participate in an In Person Interview. Use this template to provide candidates with information they will need to participate in the interview, for example directions to the interview location and names of people to ask for when they arrive.
- Interviewer or Recruiter: Invitation sent to interviewers to conduct an In Person interview with a candidate. Use this template to provide hiring managers with information that you don't want the candidate to see, such as best practices for getting the most out of candidate interviews.
