Configure event options
Review tab
You use the Review tab of Event Manager to review your event details, monitor event invitations, and perform other event-related tasks, such as:
- Preview the landing page that candidates see when self-scheduling interviews.
- Invite candidates to self-schedule interviews.
- Invite candidates to self-register and self-schedule interviews using text messaging or social media links.
- View the Event Candidate page to monitor candidate schedules for the event.
Working with the Review tab
The following image displays the Review tab and highlights areas of the page where you can perform actions.
1 - Monitor scheduling status of the event
Refer to the scheduling status bar to view the most recent scheduling data for your event. You can refer to this bar at any time to view the following information:
- Invited: Number of candidates invited to self-schedule for the event.
- Scheduled: Number of candidates invited to the event who self-scheduled an interview.
- PendingSelection: Number of candidates invited to the event who have not yet self-scheduled an interview.
- RemainingSlots: Number of interview slots that are still available for candidates to select when self-scheduling an interview.
- Status: Indication of whether the event is open or closed.
2 - Review event details
Refer to the Event Details area to view a summary of your event settings. You can review the settings and then edit the associated fields within Event Manager to make any necessary changes before inviting candidates to the event.
You can edit the following event details on the What tab in Event Manager:
- Job: Name of the job for which you are conducting interviews.
- Interview: Type of interviews that you will be conducting for this event (live video, live voice, or in person).
- Duration: Length, in hours and minutes, of the interview sessions for this event.
- Event Start and End: Time and date range in which the interviews for this event can be scheduled.
- Allow Reschedule: Whether candidates can reschedule their own interviews.
You can edit the remaining event details under the Social Settings option of the Review tab in Event Manager:
- Open Invite Enabled: Enables the event for candidate self-registration and self-scheduling via links that you distribute in email, or post on websites and social media sites.
- Open Invite Link: Link that you copy and share with candidates to allow them to self-register and self-schedule an interview for the event.
- Text Messaging Enabled: Enables the event for candidate self-registration and self-scheduling via text messaging.
3 - Review participants assigned to the event
Review all participants assigned to the event, along with the role or event team to which they are assigned. You can review the list and associated roles or event teams, and then click the Who tab to make any necessary changes prior to inviting candidates to the event.
4 - View candidate self-schedule page
Click Preview what candidates will see to open the Candidate Preview page, where you can preview the page presented to candidates when they self-schedule their interview.
Candidates use the self-schedule page to:
- View details about the event.
- Upload documents, such as resumes or work samples (if enabled in the What section. For more information, see What tab.)
- Select an interview time that works for them.
When you preview the candidate self-schedule page, verify that there are sufficient time slots to accommodate the candidates that you want to invite. If there are no time slots remaining for selection when candidates view the self-schedule page, the system displays a message telling candidates that there no available time slots and instructing them to contact their recruiter.
5 - Invite candidates to self-schedule for the event
Click Invite Candidates to open the Select Candidate(s) page, where you can invite candidates to self-schedule for the event.
Click one or more candidate names within this page to select the candidate(s), and then click Invite. Use the display controls at the bottom of the page to increase the number of candidates shown on each page from 5 to 200. If you have more than one page of candidates, you must select and invite the candidates from each page separately.
HireVue sends invitations to the candidate(s) to self-schedule via email and text (if a phone number exists for the candidate and they have not opted-out of text communications).
6 - Configure the event to allow candidates to self-register using text or web links
Click Social Settings to open the Social Settings page, where you can configure your event to allow candidates to self-register and self-schedule for your event using a web link or text message.
When candidates self-register, HireVue creates candidate records for them, thereby making them eligible to self-scheduling their event interview. Candidates receive a link to the self-scheduling page, where they can select an interview time and complete the scheduling process.

The Social Settings page is divided into two sections, each designed to help you perform a specific task. Click the following links to view more information about each section:
Generate a Web Link to Post (Social Settings)
Use the options in the Social Settings area to invite candidates to self-register and self-schedule for your event using links that you post on social media, email campaigns, websites, or any other outlet where you engage candidates.
Candidates click the link to open an event foyer, where they can self-register for the event. Once they are registered, candidates can then use the self-scheduling page to:
- Select an interview time for the event.
- View information about the event.
- Upload documents for the interview team, such as resumes, cover letters, or work samples (if enabled in the What section. For more information, see What tab.)
To generate a web link to post
- In the Social Settings area, click the Enabled check box. The social settings fields appear.

If you want candidates to visit a custom web page when there are no more time slots available, or when the event is closed, then in the Redirect URL field, enter the URL for that page.
Note: If you do not include a redirect URL, then HireVue presents candidates with a system-generated message when they are not able to select a time or register for the event.
- To post the link that candidates can click to self-register for your event, take one or both of the following actions:
- Post on social media - Click a social media icon to open your web page in the associated social media outlet. Icons are pre-configured with the candidate self-registry link, making it easy for you to quickly log in and post to your social media pages.
- Post on a web page or in an email - Copy the generated URL, and then paste it on a web page, in an email, on a discussion board, or wherever you want to engage candidates.
Generate a code to allow candidates to self-register via text messaging
Use the options in the Text Apply area to invite candidates to self-register and self-schedule for your event using text messaging.
Select the By enabling this feature... check box to display the following information that you can send to candidates:
- Phone number to which candidates send their text message
- Access code that candidates provide in their initial text message
- Disclaimer that says "Standard data fees and text messaging rates may apply based on your plan with your mobile phone carrier."
When candidates text the access code to the number provided, HireVue replies with questions required to register the candidates in the system. Once candidates are registered, HireVue texts them a link to the self-schedule page, where they can:
- Select an interview time for the event.
- View information about the event.
- Upload documents for the interview team, such as resumes, cover letters, or work samples (if enabled in the What section. For more information, see Configure event optionsWhat tab.)
7 - View the Event Candidate page
Click ViewSchedule to open the Event Candidate page, where you can:
- View a summary of the event.
- Edit the event.
- Invite candidates to self-schedule an interview.
- Cancel a self-schedule request that you sent.
- View a list of all candidates attached to the event.
Once interviews have been scheduled, you can also use this page to:
- Reschedule interviews.
- Review interviews (if you attached questions and/or recorded the interview).
- Review feedback from others, available if you shared the interview, or if others interviewed the candidate and used questions that you attached to the job.
