Manual scheduling
Manual scheduling lets you set up interviews between interviewers and candidates at specific dates and times. You can use this scheduling method when you know the availability of both the candidate and interviewers or need to accommodate complex scheduling needs, such as staggered start times or panel interviews.
For example, you can use manual scheduling to schedule one or more one-on-one interviews between the candidate and hiring manager, or to schedule multiple interviews between the candidate and different interview teams.
With manual scheduling, you have the flexibility to create a live interview schedule to accommodate varying interview durations, teams, and start/end times.
How it works
When you define a scheduling method for a live stage, you can select Recruiter manually schedules interviews to indicate you want to use manual scheduling for that stage. Then, as you add candidates to that stage, you have the option to schedule them immediately, or wait until later.
When it's time to manually schedule the interview, you use the Schedule Interview page to schedule the interview. To do so, you must identify the interviewers and the date/time of the interview. You can also specify the audio conference system you want to use or if you want to call the candidate directly, as well as any customized content (such as an agenda or attached documents) you want to include in email communications to interviewers, candidates, or both.
Each person scheduled to participate in the interview receives an email calendar invitation that includes the interview details and a link to the interview foyer.
Manually scheduling multiple interviews within a stage
To accommodate interview teams that are unable to meet with a candidate on the same day or at the same location, you can use manual scheduling to schedule multiple interviews within the same stage.
See an example of how you could use this feature
For example, your hiring manager works at the corporate office and is only available on Fridays. However, your interview team is located at your company's factory location 5 miles away, and is only available on Mondays.
To schedule the in-person interview between the candidate and all parties, you can schedule the hiring manager interview on Friday at the corporate office, and the team interview on Monday at the factory. Both interviews will be saved within the live in-person stage for the job, thereby allowing you to take advantage of the rating, review, and advancement functionality for that stage.
When you manually schedule multiple interviews within the same stage, you can view all interviews scheduled for that stage within the stage's Candidate Details panel. Here you can use schedule additional interviews for that stage, or to reschedule or cancel scheduled interviews.
See an example stage that contains multiple interviews
The following example shows the Candidate Details panel for a candidate interview that occurs over two days. Jonah has one interview scheduled for Thursday, and the other for Tuesday. Both interviews are part of the same live video stage. However, they are on different days to accommodate hiring manager and interviewer schedules.
