Scheduling Assistant Requests page
The Scheduling Assistant Requests page lets you view outstanding and fulfilled Scheduling Assistant requests and cancel requests. To access this page, click Scheduling on the main Hirevue menu, and then select Scheduling Assistant Requests.
The following image displays the Scheduling Assistant Requests dashboard, and highlights areas of the page where you can perform actions.
1 - Outstanding
The Outstanding tab lists all of the Scheduling Assistant requests that are in a state where they are waiting for interviewer or candidate action (Waiting for Candidate or Waiting for Interviewer).
2 - Fulfilled
The Fulfilled tab lists all of the Scheduling Assistant requests that in a state where action has already been taken by the interviewer or candidate (Scheduled or Canceled).
3 - Cancel Request
Cancels the Scheduling Assistant request on either the Outstanding or Fulfilled tabs.
Note: Canceling a request is not canceling a scheduled interview. Canceling the request simply cancels the outstanding request for the candidate to complete the self-scheduling step for the interview.
For example, if you send a candidate scheduling assistant request and the candidate picks a time, but later you cancel the candidate interview due to the job being filled or canceled, then you will want to also cancel the request here so that the scheduling and rescheduling links will no longer be active for the candidate.
Other examples include canceling requests that had been sent to incorrect candidates.
If you want to cancel the interview, see Cancel or reschedule live interviews.
Other notes
When the request for a scheduled interview is canceled by the recruiter:
- The candidate's scheduled time is still valid and the interview can still occur; the candidate just won't be able to reschedule (prevents endless rescheduling on the candidate's part).
- The candidate card in the job will still show as Scheduled, and the recruiter can then take the second step to cancel the interview if necessary.
When the request for an unscheduled interview is canceled by the recruiter:
- The candidate does not receive any cancellation email.
- The candidate card in the job will switch to Canceled rather than Waiting on Candidate.
- The candidate will see that the request has been canceled when they try to schedule themselves for the first time.
4 - Filter and sort schedule assistant request records
Lets you filter the records in the grid by any value. For example, if you type "E" in the Candidate filter field, the application displays all records where the event name contains an "E". If you type "Eri" in the Candidate filter field, the application displays all records where the event name contains the "Eri" string (Eric). In order for records to appear in the filter, the records must contain the exact string of letters and/or numbers typed into the filter field, in the order in which they are typed.
5 - Use the action menu to perform additional tasks
Lets you perform any of the following actions:
- Export All Columns: Exports data from all columns (visible and hidden) in the selected grid to a .csv file and downloads it to your computer.
- Export Visible Columns: Exports data from all visible columns in the selected grid to a .csv file and downloads it to your computer.
- Edit Columns: Opens a window where you can select additional columns to add to the data grid. To remove columns from the grid, click the down arrow in the upper right of each column, and then from the drop-down, select Hide Column.
- Reset Columns: Resets the displayed columns to default settings.
