Import candidates to Hirevue
Note: This topic provides information about importing candidates from the Candidates page. To learn about how you can upload candidates to interviews from within the job, see Add candidates to a stage.
Import candidates to quickly upload multiple candidates to your Hirevue application, and to optionally send out simultaneous on-demand interview requests.
When you import candidates, you prepare a spreadsheet template with required and optional information about the candidates and interview (if requesting on-demand interviews from the imported candidates), save, and then import it from the application.
Note: In order to send on-demand interview requests, you must first create the job that you want to use. See Jobs for more information.
To import candidates
- On the main Hirevue menu bar, select Candidates.
- On the Candidates page, select the Action menu (
), and then select Import Candidates.

On the Users import window, select Download the template. Hirevue downloads CandidateTemplate.csv to your computer.

Open the file and add the required and optional information about each candidate that you want to import.
Required
First name/ Last name
Candidate name used to identify the candidate in the application. This name is also used to address the candidate in system-generated emails.
Email
Email address of the candidate. A candidate's email address is their unique identifier, and can only be used once in the application.

Optional
Contact information
(Phone, Mobile Phone, Address, City, State/ Province/ Region, zip, and country). Contact information for the candidate. Once defined, this information is only visible from the Candidate dashboard and candidate profiles. You can also export this information to a spreadsheet using the Export function. See Export Candidates.

If you want to invite imported candidates to an on-demand interview, then configure the following additional fields on the template:
Optional
Recruiter email
Email of the recruiter for the interview, if you are assigning someone other than yourself as the recruiter. The recruiter assigned to the interview receives the email notification when the interview is submitted.
Required
Job title
Title of the job for which the candidate is interviewing.
Job requisition number
Job requisition number associated with the job. This field is the unique identifier of the job.
On-demand interview type
Identifies the requested interview type. If you want the candidate to complete an
- On-demand video interview, enter Video
- On-demand voice interview, enter Audio
- On-demand text interview, enter SMS

If you want to schedule a live interview for imported candidates, then configure the following additional fields on the template:
Note: In order to schedule a live interview when importing candidates, you must already have your job created in Hirevue.
Required
Job title
Title of the job for which the candidate is interviewing. Hirevue recommends assigning your job a unique title. If the job title is not unique in the system, then a job requisition identifier is also required.
Live interview type
Identifies the requested interview type. If you want the candidate to complete a live
- video interview, then enter VideoInterview.
- voice interview, then enter PhoneInterview.
- in-person interview, then enter InPersonInterview.
Live start time
Identifies the date and time that the interview is scheduled to begin. Enter the date and time in any format supported by the Excel spreadsheet.
Example: To indicate that you want to schedule the interview on January 5 at 10:00 am, enter the following value: 1/5 10:00 AM.
Live end time
Identifies the date and time that the interview is scheduled to end. Enter the date and time in any format supported by the Excel spreadsheet.
Example: The interview is scheduled to begin at 10 AM and last for one hour. To indicate that you want the interview to end at 11 AM, enter the following value: 1/5 11:00 AM.
Live include recruiter
Indicates whether you want to send an interview request to the recruiter assigned to the candidate. Interview requests will be sent to the recruiter email specified in the Excel sheet for the import.
Live reschedule if exists
Use this field if you want to reschedule Live interviews for one or more candidates using the Import Candidate template. To use this feature, candidates must exist in HireVue and be scheduled for a Live interview.
To reschedule a live interview for an existing candidate

Ensure that the candidate/ job requisition number combination you want to reschedule exists only once on the import spreadsheet.
Note: If the candidate/ job requisition number combination is not unique, then when you import the spreadsheet, Hirevue will be unable to reschedule the interview, and will schedule a new interview instead.
- On the candidate/ job row that you want to reschedule, enter the new start and end time that you want to use.
- In the LiveScheduleIfExists field, type Yes.
When you import the spreadsheet, if all conditions are met, then HireVue reschedules the interview and issue new emails to candidates and participants.

- Save the CandidateTemplate.csv as a .csv file.
- Close the .csv file and then return to the Users window in your HireVue application. Click Import.
- Select the CandidateTemplate.csv file on your computer, and then click Open.
- If the import:
- Succeeds, then the imported candidates appear on the Candidate dashboard. If you completed the additional interview request fields, then the system also emails an on-demand interview request to the candidates.
- Fails, then the import stops, and an error message appears, notifying you of the import errors and where they are located. Fix the errors, save the template, and then re-import the .csv file.
