When a candidate needs more time or a reset, there are two ways to handle it. The right choice depends on what type of deadline has been set for this Job Stage.
Extending the Expiration Date (Before Submission)
Use this when: An Expiration Date has been set for this Job Stage. The candidate hasn’t finished yet, but their link is about to expire (or already has). How it works: This change affects all incomplete interviews on this Job Stage. When you extend the expiration date for a stage, it affects everyone in that stage who hasn't submitted yet.
Keep in mind: This simply adds more time to the clock; it does not delete any work the candidate has already saved. This does not affect candidates who've already submitted their interview.
Resetting the Submission Deadline
Use this when: The candidate has already submitted their interview or it has expired, but you want to allow them to go back in—perhaps to fix a faulty recording or have more time to complete the interview. How it works: This action only affects this candidate. Resetting "re-opens" the interview and removes the "Submitted" or "Expired" status so this candidate can re-access their interview.
Important Note on Retakes: Resetting the deadline allows a candidate to use any remaining retakes. If they have already used all their allotted attempts, resetting the deadline won't give them more. In those rare cases, you'll need to delete the candidate's responses after resetting the interview. For further steps, please see How to Reset an On-Demand Interview.
Step-by-Step Instructions
To Extend the Expiration Date for the Job Stage
Navigate to the Job and scroll down to the specific Stage.
Open Candidate Experience.
Update the Expiration Date to your new preferred deadline.
Save your changes. All active candidates in this stage will now have until the new date to finish.
To Reset a Candidate's Submission Deadline
Locate the Job and scroll down to the Job Stage
Open the Candidate Experience to confirm this Job Stage is using a submission deadline:
Go to the Job Stage's tab to locate the candidate.
Select Reset Interview from the candidate’s action menu.
The candidate will automatically receive a new invitation email to jump back in.
Troubleshooting: Why can’t I see the 'Reset' option?
If you’re following the steps above but don’t see the option to reset, here are a few common reasons why:
1. Do you have the necessary permissions? The ability to reset interviews is tied to your user role in Hirevue. If the "Reset Interview" option is missing from your action menu, you may need your System Admin to update your permissions settings.
2. Has the job been closed or archived? Interviews cannot be reset if the job itself is no longer active. Ensure the Job status is set to "Open" before attempting to reset individual candidates.
3. Is it a Live Interview instead of On-Demand? The "Reset" workflow described here is specifically for On-Demand (pre-recorded) interviews. For Live interviews, you won’t see a "Reset" button; instead, you would simply reschedule the start time within the interview details.
