How do I share my calendar?
Note: Prior to beginning the synchronization, your client administrator must have completed a few setup tasks that require collaboration with Hirevue. The following steps assume that your organization has setup Microsoft Exchange synchronization with Hirevue using OAuth 2.0. Please contact your client administrator for more information.
Overview
When you synchronize Hirevue with Microsoft Exchange, you streamline the scheduling process and improve the user experience for recruiters, hiring managers, and candidates.
Access your Calendar
You can access the My Availability page by clicking your User Name from the main menu bar, and then selecting My Profile > My Availability.
The following image displays an example of the My Availability page when accessed from within the HireVue recruiter experience.
Note: If you don't see the Share My Calendar section on the My Availability page, the setup steps have not been performed to successfully authorize a calendar synchronization. Please contact your client administrator.
Share Your Calendar
To start the calendar syncing process, you first need to share your calendar with Hirevue. Sharing your corporate calendar sets up a real-time connection to your Microsoft Outlook calendar and imports available time slots so candidates can self-schedule their interviews with you.
To share your calendar
- On the My Availability page, under Set Availability Automatically, click Share My Calendar.
- On the Share My Calendar page, select the Share my calendar with HireVue check box, and then click Save.
- The Permissions requested page appears, prompting you to confirm that you want to grant HireVue permission to access your calendar. Click Accept.
Set your Work Hours
After sharing your calendar, you can now configure your work hours in Hirevue. Work hours are periods of time each day during which you're available to participate in candidate interviews. HireVue schedules interviews for time blocks marked as "available" in your HireVue calendar and "free" in your connected Outlook calendar.
When you set your work hours, then candidates who are self-scheduling interviews will only be able to select from your available time slots.
To set your work hours
On the My Availability page (Work Hours view), click and drag the time blocks that you want to make available for participating in interviews, and then click Save Changes. Your work hours appear in blue with the Available tag in the left corner.
