Why can't I find a pre-existing candidate in the system?
Do you have a candidate that previously applied for a position and seems to have "disappeared" from the system? Hirevue automatically archives and subsequently deletes candidates based on your company's data retention policy and regulatory requirements.
Data retention policies ensure all information is properly stored and disposed of in a timely fashion. Archiving data that is no longer needed means when you filter data, you're provided exactly what you need without sifting through outdated information. You could archive candidates that have been hired, Jobs for positions no longer needed, or Events that have passed. If you'd like to send a pre-existing candidate the same interview or a different one, you must unarchive the candidate prior to sending the interview.
Note: Data retention is complex and is dictated by policies set in place by your organization. Depending on settings, data can be archived and subsequently deleted after a certain period of time. If the data has been deleted, you must add the candidate back into the system as if they were a new applicant.
To Unarchive Candidates
- From the main menu, click Candidates.
- On the Candidates page, click the Action menu (
), and then select View Archived.
- From the Archived Candidates list, you can page through the archived candidates to locate a candidate, or you can search for their name.
- When you've found the desired candidate, click the candidate's name, and then click the Action menu (
), then select Unarchive.
The candidate is restored to the Candidates list and can be scheduled for an interview.
