Job summary
Job Summary is comprised of two pages that together, provide comprehensive information about all facets of a job, including interview stages, candidates, interviews, and reviews.
Job summary overview page
The job summary overview page contains a graphical representation of all interview stages in a job, along with a progress bar that you can use to navigate between stages. You can use this page to view and edit the interview settings for each job stage, add additional interview stages to the job, or add candidates to the job.
The following image displays an example job summary overview page. Refer to the numbered links below the image for more information about each area.
1 - Jobs breadcrumb
Displays the name of the job that you are working with, and a link back to the Jobs page, where you can select and edit another job.
2 - Edit job details
Opens the Job Details panel, where you can edit basic information about the job.
3 - Progress bar
Visual indicator of the interview stages in the job and the number of candidates in each interview stage. The progress bar for each job includes an overview page that includes each interview stage card in the job, displayed in the order in which candidates will progress through them.
If there are actions that demand your attention, they will be noted with a red exclamation mark in this bar.
4 - Interview stage name
Optional identifier for the interview stage. By default, stages are named according to their placement in the job (for example, Stage 1, Stage 2, etc.). You can create a customized stage name to help you easily identify the stage within the job. For example, you could create a name that reflects the purpose of the interview stage (for example, Video Screen, or Recruiter Screen). The image above shows the customized stage name of "Text Pre-Screen".
5 - Interview stage card
Collection of information and settings related to each interview stage in a job. Refer to the numbered links after the example below for more information about the interview stage card.
1 - Interview stage name
Identifier for the selected stage. By default, stages are named according to their placement in the job (for example, Stage 1, Stage 2, etc.) When you create a custom name for a stage, that name appears in this area with a dotted underline. You can click the stage name to toggle to an editable field, where you can edit or delete the name.
2 - Reorder stage
Use the up and down arrow controls to move the selected stage up or down within the job flow. The order in which stages appear in the job flow is the order that candidates move through as they advance through the job.
You should only reorder stages that do not have candidates associated with them. Once you invite candidates to an on-demand interview, or schedule candidates for a live interview, it is recommended that you do not adjust the order of that stage within the job flow.
3 - Delete stage
Lets you remove the selected interview stage from the job.
You can only remove stages that do not have candidates associated with them. Once you invite candidates to an on-demand interview, or schedule candidates for a live interview, you can no longer delete that stage from the job flow.
4 - Stage information
Indicates the order of the stage in the job flow (for example, Stage 1, Stage 2, etc.), and the interview stage type.
Interview stage types
On-demand video
Recorded interview that candidates complete using their computer or mobile device. You can configure Hirevue to ask questions via video, image, text, or audio, and then require that candidates respond using video, audio, text, fill-in-the-blank, or single select/multiple select.
On-demand voice
Recorded audio interview that candidates complete using their phone. You can either add your own audio question, or enter a text question that you want the system to repeat to the candidate. Candidates can then respond with their voice, or by using a telephone keypad to make a single select selection.
On-demand text
Recorded text (SMS) interview that candidates complete using text messaging functionality on their cell phone or their web browser, depending on your system configuration. By default, candidates complete on-demand text interviews using their web browser. However, if your system is configured to allow both SMS and web responses, then candidates who:
- Have a phone number in their candidate profile can choose to participate in on-demand text interviews using either their phone or a web browser.
- Do not have a phone number in their candidate profile must participate using their web browser.
When using on-demand text interviews, you can configure Hirevue to ask questions via text or single select answers.
Live video
Live video interviews conducted with candidates and hiring managers using computers or mobile devices.
Live voice
Phone interviews conducted between candidates and hiring managers.
In person
Live interviews where candidates and hiring managers meet in-person at a specific location.
5 - Stage summary
Summary of candidate activity with the interview stage. Visual number and graph displays provide a quick glance into how many interviews have been canceled, completed, expired, and more. You can then take action on the necessary statuses and candidates and keep the job requisition on track.
The visual indicators are:
Total candidates
Displays the number of candidates invited to the stage, and the number who have been advanced to the next stage. You can click the links beneath each number to view a filtered list of those candidates within the Interview Stage page.
Status graph
Displays each interview status and the number of candidates that have each status. You can click any status that has candidates associated with it to view a filtered list of those candidates.

Percent complete
Displays the percentage of candidates that have either submitted their on-demand or completed their live interviews.
- The colored portion of the circle represents the percent of candidates that have completed their interviews, while the remaining gray portion of the circle represents the total number of interviews.
- The percentage value in the center of the circle represents the percentage of candidates who have completed their interviews.
6 - Settings
Areas of configuration that you can customize to change or enhance the candidate experience for your job. When you first add a stage, it inherits the default settings for that interview stage type.
You can click any of the settings links to open a panel, where you can review and edit the settings to meet your needs.
Settings
Scheduling
Lets you define the scheduling options for a live stage. You can choose to have the recruiter manually schedule interviews, or use Scheduling Assistant or Event Manager to let candidates self-schedule their interviews at a time that is convenient for them.
Candidate experience
Candidate Experience settings let you define elements that impact how candidates experience their on-demand and live interviews.
You can use this area to configure the following elements of the selected interview stage:
Experience and layout
- Foyer: Select the page that candidates visit prior to beginning their interviews.
- Welcome page: Display or hide the job-specific welcome page video that appears on the candidate welcome page. You can also use these settings to record, upload, or update the video.
Candidate options
Configuration settings for on-demand interviews that determine how long candidates have to submit their interview, and when the interview invitation expires. In addition, for:
- On-demand voice and video interview stages, you can specify whether you want to allow candidates to record an introduction.
- On-demand video interview stages only, you can specify whether you want to allow candidates to upload documents (such as resumes or work samples) and whether the upload is required.
Reminders
Email or text messages that HireVue sends to candidates reminding them to:
- Complete their on-demand video, voice, or text interview.
- Attend their live video, voice, or in person interview.
Self-register
Lets you generate a link or text code that you can share with candidates, enabling them to self-register for an on-demand video, voice, or text interview.
Location
Specifies the address of the live in person interview location and any additional notes that can help candidates prepare for the interview.
Assessments
Employment screening tests that you can use with on-demand video or on-demand text interviews to identify candidates that will be a good fit for your organization.
Interview questions
When you add an interview stage to a job, you use the Interview Questions settings to:
- Add the questions that you want candidates to respond to. You can create custom questions or you can add pre-configured questions from the Question Library.
- View or edit questions defined for the selected interview stage.
- Change the order of questions for the selected interview stage.
- Remove questions from the selected interview stage.
Reviewer options
Lets you identify the reviewers that you want to notify when candidates submit interviews for this job, and indicate whether you want to notify the distribution list when candidates receive automated reminders to submit their interviews.
Documents
Lets you add one or more documents to an on-demand (video or voice) or live interview stage. When you add documents to an interview stage, candidates invited to interview can access the document in different locations, based on the type of interview to which they are invited.
6 - Hide/show settings
Lets you display or hide the interview settings displayed in the interview stage card.
7 - Advancement bar
Lets you view and edit the advancement settings for the selected stage. Advancement settings specify the way in which you move candidates from one interview to the next within the job flow.
If the stage is configured to:
- Manually advance candidates, then the bar indicates that candidates will manually advance to the next stage.
- Automatically advance candidates, then the bar indicates that candidates will automatically advance, and then also lists the advancement criteria that is selected for that stage (for example, interview submission, candidate response score, etc.).
Stage pages
The Stage pages display a summary of the progress for each stage in your job. You can use these pages to view information about candidates in a stage, stage status, and where candidates are in the job workflow. You can also use these pages to perform actions related to an interview stage, such as adding or scheduling candidates, accessing the candidate details view, resetting an interview, or manually advancing candidates to the next stage.
The following image displays an example Stage page. Refer to the numbered links below the image for more information about each area.
1 - Stage header
Provides the following summary information about the selected stage:
Candidates (number)
Number of candidates added to the selected stage. If this is a(n):
- On-demand stage, then candidates have been invited to participate in an on-demand stage.
- Live stage, then candidates have been added to the stage, and may or may not need to be scheduled. Refer to the labels on the candidate status bar (4) to see any messages requiring user intervention, such as a need to schedule candidate interviews.
Stage name
Identifier for the selected stage. By default, stages are named according to their placement in the job (for example, Stage 1, Stage 2, etc.), but may also be customized from the interview stage card on the Job Summary Overview page.
Stage type
Indicates the interview type configured for the selected stage. When you add a stage to a job, you first determine the interview type that you want to use, and then select the interview stage type that fits your needs.
Stage types
On-demand video
Recorded interview that candidates complete using their computer or mobile device. You can configure HireVue to ask questions via video, image, text, or audio, and then require that candidates respond using video, audio, text, fill-in-the-blank, or single select/multiple select.
On-demand voice
Recorded audio interview that candidates complete using their phone (mobile or landline). You can either add your own audio question, or enter a text question that you want the system to repeat to the candidate. Candidates can then respond with their voice, or by using a telephone keypad to make a single select selection.
On-demand text
Recorded text (SMS) interview that candidates complete using text messaging functionality on their cell phone or their web browser, depending on your system configuration. By default, candidates complete on-demand text interviews using their web browser. However, if your system is configured to allow both SMS and web responses, then candidates who:
- Have a phone number in their candidate profile can choose to participate in on-demand text interviews using either their phone or a web browser.
- Do not have a phone number in their candidate profile must participate using their web browser.
When using on-demand text stages, you can configure HireVue to ask questions via text or single select answers.
Live video
Live video interviews conducted with candidates and hiring managers using computers or mobile devices.
Live voice
Phone interviews conducted between candidates and hiring managers.
In person
Live interviews where candidates and hiring managers meet in-person at a specific location.
2 - Sort
Sorts candidate records by Status or Assessment. By default, candidates are sorted by their current status in descending order, beginning with "Not Started" and continuing to "Advanced" (Not Started > Started > Canceled > Expired > Submitted > Advanced).
You can select:
- Status to reverse the default status sort order, moving candidates with the status of "Advanced" to the top of the list and candidates with the status of "Not Started" to the bottom.
- Assessment to sort candidates by their assessment scores, beginning with the highest score and moving to the lowest. Click Assessment again to reverse the sort order, moving candidates with the highest score to the bottom of the list. Candidates with no assessment score will appear by default at the bottom of the list.
Any adjustments you make to sort order while you are viewing the Job Summary page will be reset to default when you refresh or reload the page.
3 - Filter
Use the filter to narrow the list of candidates based on user-defined criteria. Only the candidates that meet the criteria you define here will appear in the candidate list.
Refer to the numbered links after the example below for more information about the filter.
1 - Filter tag
Displays and lets you remove active filter criteria. Each filter criteria selected in the filter fields below appear in a separate tag.
To quickly remove one or more of the applied filter criteria, click the X in the filter tag for that criteria. Any new criteria that you define will appear in a new tag in this area.
2 - Candidate name search
Lets you search by a specific candidate name. You can type all or part of a candidate name in order to search for specific candidates.
For example, if you type "S" in the search field, the page displays all candidates with names containing an "S" (Mary Smith, Sam Sample, John Marks, etc.). If you type "Smi" in the search field, the page displays all records where the candidate name contains the "Smi" string (Mary Smith). In order for records to appear in the filter, the records must contain the exact string of letters and/or numbers typed into the filter field, in the order in which they are typed.
3 - Status
Lets you filter candidates with a specific interview status. On-demand and live interviews each have a different set of statuses.
On-demand stage statuses
Invited
Candidate was invited to an on-demand interview, but has not yet begun the interview.
Started
Candidate was invited to an on-demand interview, and has begun the interview.
Expired
Candidate was invited to an on-demand interview, but that interview is now expired. The candidate did not complete the interview.
Interviews expire when either the:
- Candidate submission deadline is passed, or
- The interview stage has expired.
You can configure both of these items in the Candidate experience within the interview stage.
Submitted
Candidate submitted an on-demand interview, but has not yet advanced to the next interview stage.
Canceled
Candidate was invited to an on-demand interview that was canceled by the recruiter.
Advanced
Candidate was advanced to the next interview stage.
Live stage statuses
Need to schedule
(Manual scheduling only) Candidate was added to the stage, but the recruiter has not yet scheduled their interview.
Processing scheduling request
(Scheduling assistant only) Candidate was added to the stage and the scheduling assistant is processing the request and will send the invite shortly.
Canceled
Candidate was added to the stage, but the interview was canceled.
Scheduled
Candidate was added to the stage and their interview has been scheduled.
Completed
The time scheduled for the live interview to occur is passed. Candidate interviews receive a completed status when the interview is complete or the interview time is passed.
Invited
Candidate has been invited to self-schedule a live interview, but has not yet responded to the request.
Unable to schedule
There is not enough time on the hiring manager's calendar to schedule the interview.
Advanced
Candidate was advanced to the next interview stage.
4 - Score
Lets you filter candidates with a specific assessment score.
5 - Ratings and reviews
Lets you filter candidates who achieve a specific review or rating. You can choose to show candidates that earned a specific star rating, or that are recommended or not recommended for hire (thumbs up/thumbs down review). For more information, see Rating and review.
4 - Bulk action selector
Lets you select multiple candidates for which you can perform bulk actions. When you select one or more candidates, the More Actions menu appears, allowing you to select the action that you want to perform. For more information, see 7 - More Actions below.
5 - Action menu
Lets you perform actions related to the selected candidate.
The items that appear in this menu are dependent on the interview type (on-demand or live), and candidate status.
On-demand actions
View candidate details
Displays the Candidate Details panel, where you can see a summary of the candidate's activity within each stage of the job, as well as perform candidate-related actions such as scheduling live interviews or viewing submitted on-demand interviews.
See responses
Lets you review a submitted interview.
Advance to next stage
Lets you manually advance the candidate to the next interview stage in the job.
Compare reviews
Lets you compare the reviews from different hiring managers about a candidate interview. This option takes you to the Review all ratings page, where you can see a summary of all reviews, and then click to view detailed feedback from reviewers.
View Developmental Feedback
If the interview includes an assessment with the Developmental Feedback Report included, you will have the option to view and send the developmental feedback report (DFR).
Send for review
Lets you send the interview to hiring managers or interviewers. Depending on your system configuration, recipients of a sent interview may not need to be logged into the system in order to review the interview and provide feedback.
When you send an interview for review, you enter the email of the recipient(s), and then optionally set permissions and specify the interview elements that you want to share.
Reset interview
Lets you reset submitted or unsubmitted on-demand video interviews. When you reset an:
- Unsubmitted on-demand video interview, then the candidate submission deadline (if configured) resets, and the candidate receives an email inviting them to complete the on-demand video interview by the new date.
- Submitted on-demand video interview, then the interview status changes to "Unsubmitted." The candidate submission deadline resets, and the candidate receives an email inviting them to complete the on-demand interview by the new date. They can then edit any response within the interview where they have retakesremaining. You will not be able to see their interview again until they resubmit it.
Live actions
View details
Displays the Candidate Details panel, where you can see a summary of the candidate's activity within each stage of the job, as well as perform candidate-related actions such as scheduling live interviews or viewing submitted on-demand interviews.
Schedule interview/reschedule interview
Lets you manually schedule or reschedule a live interview. If an interview has not been scheduled, then you can click Schedule Interview to open the Schedule Interview page, where you can manually schedule the candidate interview.
Advance to next stage
Lets you manually advance the candidate to the next stage in the job.
6 - Candidate progress bar
Visual indicator displaying the candidate's active interview stage. The progress bar is comprised of circles, each of which represents a single interview stage within the job.
The shading of each circle indicates the candidate's completion status for that stage:
- Completed stage
- Active stage
- Incomplete stage
You can move your mouse over any circle in the bar to view a pop-up message containing additional information about the candidate's status in that stage.
7 - Ratings indicators
Displays the average reviewer rating, stars review, and thumbs up/thumbs down review submitted for the candidate. You can also see the number of reviews that were calculated to produce the average rating.
Specifically, you can refer to the:
- Left side of the card to see the average rating, and number of reviews that were used to calculate the average.
- Right side of the card to see a running average of the stars and thumbs up/thumbs down reviews submitted for the candidate. Thumbs up/thumbs down ratings are rounded to the positive. For example, if there is one "thumbs up" and one "thumbs down" rating for an interview, then the average rating is "thumbs up".
If assessments are licensed for your application and configured for the interview stage, the candidate card will also display assessment results. Assessment scores can be used to compare, prioritize, or automatically advance candidates. The following image shows a candidate card displaying an assessment score of 4 - Excellent Fit.
Within the candidate card, assessment scores are visible on both the assessment stage itself, as well as the next submitted (On-Demand) or completed (Live) stage in the job. If a job has multiple assessments, assessment scores are only visible on the next On-Demand and/or Live interview stage once candidates submit or complete their interview. Assessment scores are not visible on other assessment stages within the job, or on On-Demand or Live stages that occur after an additional assessment.
See the following examples for an illustration of how assessment scores appear on jobs with one and two assessment stages.
Example 1: Job with one assessment stage
- Stage 1 Assessment: Assessment score becomes visible on this stage once candidate completes the assessment and it is scored.
- Stage 2 On-Demand Video: Assessment score becomes visible on the On-Demand Video stage of the candidate card once the candidate submits their interview.
- Stage 3 Live: Assessment score from Stage 1 becomes visible on the Live stage of the candidate card once the candidate completes their interview.
Example 2: Job with two assessment stages
- Stage 1 Assessment #1: Assessment score becomes visible on this stage once candidate completes the assessment and it is scored.
- Stage 2 On-Demand Video: Assessment #1 score becomes visible on the On-Demand Video stage of the candidate card once the candidate submits their interview.
- Stage 3 Assessment #2: Assessment #2 score becomes visible on this stage once candidate completes the assessment and it is scored.
- Stage 4 Live: Assessment #2 score becomes visible on the this stage of the candidate card once the candidate completes their Live interview.
8 - More actions
When you select one or more candidates using the bulk action selection check boxes (see 3 - Bulk Action Selector), this button appears, allowing you to perform one of the following actions on the selected candidates:
- Send for Review: Send the completed interview(s) for review to request that hiring managers provide feedback.
- Compare Interviews: Opens the selected interviews in a side-by-side tabbed review page, where you can compare candidate responses.
9 - Advance
When you select one or more candidates using the bulk action selection check boxes (see 3- Bulk Action Selector), the Advance button appears, allowing you to move selected candidates to the next interview stage.
