Advancement
Advancement is the way in which candidates progress from one stage to the next within a job. When adding a new stage to a job, you can choose whether you want candidates to advance to that stage manually or automatically. When you choose to advance candidates:
- Manually, then you are responsible for reviewing the candidate interview from the previous stage and using the Candidate details panel to manually advance them to this stage.
- Automatically, then while adding this stage, you can specify the automatic advancement criteria that the candidate must meet before HireVue automatically advances them to this stage.
- Via Stage Exemptions on the Candidate options section of the stage, then the candidate will automatically move to the next stage if they attest to satisfying the requirements of the exemption.
The following sections describe each advancement option and how to use it to achieve the best candidate experience for your job.
Manual advancement
Manual advancement lets you advance candidates who have successfully completed their on-demand or live stage to the next.
When you configure an stage with manual advancement, you can select the candidates you want to advance to the next stage. When a stage is configured to use manual advancement, candidates in that stage will not advance until you manually advance them.
To advance candidates, you select one or more candidates in the Candidate Details page, and then for
- On-demand stages, click Advance.
- Live interviews, select the Advance to Next Stage option within the action menu.
These options only appear if the candidate has submitted their on-demand stage, or completed their live interview.
Candidates you manually advance immediately move to the next stage in the job. You can use the Job Progress bar to navigate to that stage, and then work with the candidate options within that stage. If the stage is an:
- On-demand stage, then the candidate is automatically invited to complete the on-demand stage.
- Live stage, then you can either manually schedule the interview, or if configured, Hirevue will issue a self-scheduling request to the candidate. For more information, see Scheduling live interviews.
To view an example of the advancement bar, where you can define the advancement method for a stage, see Job summary.
Automatic advancement
Automatic advancement lets you define the criteria that determines whether to automatically advance candidates who have completed their on-demand or live stages. Each candidate stage is assessed against the defined criteria and those candidates that meet the criteria are advanced to the next stage. The system waits a configured length of time before advancing the candidate to the next stage. This delay is configured at an application level and is specific to your organization.
Note: The decision to advance some but not all candidates based on their interview responses or scores is subject to the same legal and professional guidelines and standards as tests, assessments and other selection procedures. As a result, prior to using the ”auto advance” feature, it’s important to establish and document that the interview questions being used are valid (meaning they are related to success in the job) and fair (meaning they do not unfairly advantage members of one gender or race/ ethnicity over others). It is important that you and your company consider these factors when selecting interview questions and other content that will be accessible to your candidates within the HireVue platform.
Automatic advancement criteria differ, based on the stage from which you are advancing candidates. If you are advancing candidates from:
-
On-demand stages, then you can select the following criteria:
SubmissionAdvance candidates who submit their on-demand stages.
Candidate response score
Advance candidates that meet or exceed a specific candidate response score when responding to single- or multiple-select questions. When you select this option, you define the minimum total score that candidates must achieve in order to advance.
Candidate response scores are values you can assign to each response for single- or multiple-select on-demand interview questions. When candidates submit their stage, their response selections result in a total response score that is then compared with the defined threshold to determine whether or not they advance to the next stage.
For more information about assigning scores to questions, see Interview questions.
Assessment score
Advance candidates that earn a specific assessment score when responding to assessments during on-demand stages. Assessments are tools used in on-demand stages to evaluate candidates based on standardized third-party assessments.
When you select this option, you define the minimum total score that candidates must achieve in order to advance.
-
On-demand or live stages, then you can select the following criteria:
Star ratingImportant! Automated advancement is based on the first submitted star rating review. If the first rating from a review doesn't meet the criteria, the candidate will not auto advance to the next stage, regardless of subsequent ratings from reviewers. Therefore, this criteria is best used for single reviewers.
Advance candidates based on the number of stars a reviewer assigns to the candidate. You define the number of stars the candidate must earn before they're automatically advanced to the next stage. Then, the first submitted review will either automatically advance the candidate or the candidate will not advance.
For more information, see Rating and review.
See example
You select the star rating advancement criteria, and then specify the candidate must achieve four stars to advance to the next stage. As a result, if the first reviewer assigns five stars to the candidate, the system automatically advances that candidate to the next stage. Or, if the first reviewer assigns three stars to the candidate, the system will not advance the candidate to the next stage, regardless of any subsequent four star ratings.
Recommendation
Important! Automated advancement is based on the first submitted Recommendation review. If the first review doesn't meet the criteria, the candidate will not auto advance to the next stage, regardless of subsequent reviews. Therefore, this criteria is best used for single reviewers.
Advance candidates based on a recommendation in the first submitted review. A reviewer evaluating candidate stages can assign a Recommendation to the interview, thereby indicating their approval of the candidate. If the first reviewer does not recommend the candidate, or does not provide a recommendation as part of their review, the candidate will not advance to the next stage, regardless of subsequent recommendations from reviewers.
For more information, see Rating and review.
Review score
Important! Automated advancement is based on the first submitted review score. If the first review doesn't meet the criteria, the candidate will not auto advance to the next stage, regardless of subsequent reviews. Therefore, this criteria is best used for single reviewers.
Advance candidates based on the review score calculated in the first submitted review. When you choose to advance a candidate based on review score, you must also define the minimum score that the candidate must earn in order to advance to the next stage.
Review scores are defined in the Review Format section of the Interview Questions panel within each stage. For each question that you add to a stage, you can define the review format you want reviewers to follow when providing their feedback. If you select a Single Select or Multiple Select review type, then you can also define the choices from which you want reviewers to select, and the scores you want to assign to each choice.
When reviewers are reviewing the candidate interview, they choose from the list you defined, and the associated score is then assigned to the response for that candidate. If the score from the first submitted review meets or exceeds the review score threshold defined for advancement, then the candidate will automatically advance to the next stage. Otherwise, the candidate will not advance, regardless of subsequent reviews. To move the candidate to the next stage you must manually advance them.
You can also manually advance candidates within an automatic advancement workflow. For example, if the candidate did not meet the criteria for automatic advancement and was therefore not advanced to the next stage, you can still manually advance that candidate. This functionality allows you to implement automatic advancement for a large portion of candidates, while still allowing the flexibility to override an automatic advancement decision, and manually advance candidates you would like to remain under consideration for the job.
Note: Under certain automatic advancement conditions, a candidate may be able to begin or schedule the next stage of their interview within the candidate dashboard. For more information, see Candidate dashboard.
Stage exemptions
If an on-demand web/video stage is configured to allow stage exemptions in the Candidate options section, then you can give candidates the option to self-attest they have already fulfilled the stage's requirements. Candidates who are exempt from the stage automatically advance to the next stage. Candidates who are not exempt complete the stage as originally assigned.
Note: Stage exemptions are a licensed feature and may not be available for your application. For more information about your specific application configuration, contact your system administrator.
